Term Transitions
Term Transitions is a new feature that gives you a complete overview of the process of moving from one term to the next, all in one place. Instead of keeping track of courses and participants in your head, you can now see exactly how far you have come, what remains, and handle transfers collectively.
What Term Transitions solves
When a new term starts, you typically need to:
- Create new courses similar to the previous ones, but with new dates
- Connect each old course to the new one
- Transfer participants from old courses to new ones
- Keep track of who has been transferred and who remains
Previously, you had to do this course by course, keeping track yourself of what was done and what remained. With Term Transitions, you get a consolidated overview of the entire process, and can connect courses and transfer participants directly from the overview.
How it works
The overview
When you open Term Transitions, you see all courses from the current term in a list. For each course, you can see:
- Current course on the left side
- Next course on the right side, either connected to a new course, or an empty slot waiting for you to create or connect a course
At the top of the page, you see a summary of your progress, for example: "4 of 8 courses paired, 32 of 50 participants transferred." This way, you always know exactly how far you have come.
Connecting courses
Once you have created the next course in the series in the usual way, you can connect it to the old course directly from the overview. When courses are connected, you see them as a pair and can begin transferring participants.
Transferring participants
You can start transferring participants at any time. You do not need to connect courses first. Transfers work with the existing continuation system you already know, opt-in or opt-out, but now you can track the status across all courses collectively.
For each course in the overview, you can see:
- Whether the course is connected to a next course
- Whether participants have been transferred
- What remains
- The status of the transfer
Typical workflow
- Open Term Transitions under Activities > Term Transitions in the dashboard
- Review the course list, see which courses need a next course
- Create new courses in the usual way for courses that should continue
- Connect the courses in the overview, pair each old course with the new one
- Start transfers of participants for each paired course
- Track the progress until all courses and participants have been handled
You do not need to do everything at once. Term Transitions saves your progress, so you can work on it over several days or sessions.
Tips
- Start early. The sooner you set up the next term, the more time participants have to consider their continuation.
- Connect courses as you create them. This builds up the overview gradually instead of doing everything at the end.
- Check progress regularly. The summary at the top gives you a quick answer on whether anything remains.
Important to know
- Term Transitions does not change how continuations work for participants. They receive the same invitations and deadlines as before.
- Orders are created automatically for continued participants, but payments are handled as usual.
